Payroll Time Entry

Non-Exempt – Blue Timesheet Employees 

All non-exempt employees will be paid according to their normal work schedule, including Spring Break. Communicate adjustments with your supervisor.

Beginning with pay period beginning 03/29/20, you will submit your timesheet via Online Services. Step by step directions are below**.

When documenting your leave, you have the following options:

Administrative Leave with Pay* for COVID-19:

  1. will be issued to those who need to care for children during the K-12 closings.
  2. will be issued if your hours have been reduced.
  3. will be issued for employees who exhaust their sick leave to accommodate sick leave absences.

Sick Leave:

  1. used to report your own illness
  2. used to care for a spouse, dependent child, domestic partner, or parent who is ill

Annual Leave:

Annual leave is paid time off from work or vacation, and requires prior approval from your supervisor.  Annual leave is highly discouraged right now. Please understand that any employee who takes annual leave may be required to self-quarantine before returning to work.

Exempt Staff 

Continue to submit time records as usual via Online Services. If you are taking leave, please be sure to accurately identify the type of leave you are taking.

Student Assistants/Temporary Employees

Continue to submit time records as usual for hours worked. Please do not submit a time record if you are not working.  There will be continual updates as we learn more about possible government aid for employee leave.

Instructions for Web Time Entry

  1. Log into my.CSMD.edu
  2. Click Online Services
  3. Click on Employees Tab
  4. Click on Time Entry under Personal Profile
  5. The time entry record will display. Click Choose Only One (your Permanent Position).  Click Submit.
  6. Enter any Annual and/or Sick Leave Hours Used under the appropriate dates, and remove those hours from the Hours Worked column, if applicable.
  7. To save leave entries during the pay period, click the “SUBMIT” button at the bottom of the page. The SUBMIT button works as a save button. Time records may be accessed at any time during the pay period.
  8. At the end of the pay period, check the small box in the middle of the screen that says “Checking this box becomes your electronic signature acknowledging your submitted time as accurate and ready for supervisor approval.” This process will send the time record to the supervisor for review/approval. Employees must complete this process even if no leave was used.
